Submissions

First Call

We call for Regular Tracks, Special Tracks, and Format-free Events to be carried out during the 26th -28th of October 2023 in Santa Marta, Colombia.

Regular Tracks, Special Tracks, and Format-free Events can be submitted in English or Spanish. Bilingual sessions (mixing both languages) are not possible because the conference cannot offer simultaneous translation. For submission, proponents need to choose one of the two official languages of the conference.

For submission in any of these modalities, follow the instructions below.

 

Regular Tracks

Please provide:

  • Track Title
  • A justification and objectives text of no more than 3700 characters (including spaces and punctuation), approximately 500 words.
  • Names and affiliations of up to 4 chairpersons

 

Special Tracks

Please provide:

  • Track title
  • Text for justification and objectives of no more than 3700 characters (including spaces and punctuation), which is approximately 500 words
  • Names and affiliations of up to 4 chairpersons
  • For each expected presentation, provide the presentation title, abstract of no more than 2600 characters (spaces and punctuation included) which is approximately 300 words, and speaker with affiliation

 

Format-free Events

Please provide:

  • Title of the event
  • A text of max 3700 characters (including spaces and punctuation), which is approximately 500 words, stating the justification and objectives
  • Names and affiliations of up to 4 chairpersons
  • Names and affiliations of the expected participants (in case they are already known)
  • A text of max. 2600 characters (spaces and punctuation included) which is approximately 300 words, describing the type and format of the event.


Please be aware that we will launch a second (open) call for abstracts for the Regular Tracks in March 2023. See below.

The abstracts of the presentations in Special Tracks have to be submitted jointly with the proposal of Special Track.

Pre-recorded presentations for both types of tracks have to be submitted before the deadline indicated in IMPORTANT DATES.

Deadline for submission of Regular Tracks: 17th February 2023

Deadline for submission of Special Tracks and Format-free Events: 2nd May 2023.

Second Call

Track proposals will be reviewed by the Organizing Committee of the conference, which will also serve as the Scientific Committee of the conference. Decisions regarding the acceptance of Regular Tracks will be published on the conference’s website the first week of March 2023. 

Accepted Regular Tracks will then constitute the structural basis for the conference’s general call for abstracts, which will be launched in March 2023 (the second call). In this general call for abstracts, participants will be invited to register their abstract submissions under one of the accepted Regular Tracks, which will set the thematic structure of the conference.

Chairpersons of accepted Regular Tracks will oversee the review and acceptance of the abstracts submitted under their respective Regular Tracks and allocate the abstracts across sessions and designating commentators.  Two commentators are to be designated per session, and these are expected to be selected from among the speakers participating in the Regular Track in question.

The conference Organizing Committee will provide technical and scientific support to Chairpersons in the abstract review process, in uploading the pre-recorded presentations to the conference website, and in the assignment of rooms at the main conference site.  Each Regular Track will handle a minimum of 3 and a maximum of 35 presentations.

Pre-recorded Presentations

The presentations must be recorded (following the instructions on the website) and submitted to the email indicated in the instructions. Also, please check our tips on how to record your video. The videos of the presentations will be available several weeks in advance of the conference, so all the participants will be able to watch them. The objective of having pre-recorded presentations is to maximize the time allocated to social interaction, Q&A, and general discussion during the in-person sessions.
